This Privacy Policy explains how we collect, use, disclose, and protect personal information when you visit our Site, submit an inquiry, book a consultation, or otherwise interact with us online. By using the Site, you acknowledge that your personal information will be handled as described in this Privacy Policy.
What we collect
We collect personal information that you choose to provide to us, such as your name, email address, phone number, and any details you include in messages, forms, or booking notes. If you book a consultation through our Site, we also collect booking-related details such as the service selected, appointment date and time, and information you submit to help us prepare for your appointment. Depending on what you choose to share, this information may include details relevant to immigration services.
We also collect certain information automatically when you use the Site. This may include your IP address, general location (for example, city/province), device and browser information, and information about how you interact with the Site (such as pages viewed and links clicked). We collect some of this information through cookies and similar technologies.
Cookies, analytics, and advertising
We use cookies and similar technologies to help the Site function, to understand how visitors use the Site, and to improve performance. We use Google Analytics to measure and analyze Site traffic and usage patterns. We also use the Meta Pixel to help us understand the effectiveness of our advertising, measure conversions, and (where enabled) show relevant ads to people who have visited our Site.
These technologies may collect information such as your device identifiers, cookie identifiers, IP address, and information about your activity on the Site. You can control cookies through your browser settings and, where available, through any cookie preferences tool on the Site. You can also learn more about Google Analytics controls (including the Google Analytics opt-out browser add-on) and manage ad preferences through Meta’s ad settings.
How we use your information
We use personal information to respond to inquiries, provide and administer consultations and services, manage bookings, and communicate with you about your requests. We may also use information to operate, maintain, and improve the Site; to understand what content and services are most helpful; to protect the security and integrity of our systems; and to comply with legal and regulatory obligations. Where permitted, we may use your information to send you service-related messages and, if you have consented or where otherwise permitted by law, marketing communications.
How we share your information
We may share personal information with service providers that help us operate our business and the Site. This includes Wix, which we use for website hosting and to provide features such as forms, bookings, and lead collection. It may also include payment processors and payment networks used to process transactions when you pay online (for example, credit card processing and PayPal). We also share limited information with analytics and advertising partners such as Google (Google Analytics) and Meta (Meta Pixel) for measurement and advertising purposes.
We do not sell your personal information. We may disclose personal information if required to do so by law, regulation, or legal process, or if necessary to protect our rights, the safety of our clients, or the security of the Site.
Payments
If you make a payment through the Site, your payment is processed by third-party payment processors through Wix and/or PayPal, as applicable. We do not store full credit card numbers. We may receive limited transaction details (for example, confirmation that a payment was completed, the amount, date, and a reference number) to administer your purchase and for record-keeping.
International processing
Some of our service providers (including Wix, Google, and Meta) may process or store information outside of Canada. As a result, your personal information may be subject to the laws of the jurisdictions where it is processed, which may permit access by courts, law enforcement, or other authorities in those jurisdictions.
Retention
We keep personal information only as long as necessary for the purposes described in this Privacy Policy, including to provide services, maintain business records, resolve disputes, and comply with legal and regulatory requirements. The length of time we retain information may vary depending on the type of information and the purpose for which it was collected.
Security
We take reasonable administrative, technical, and physical measures designed to protect personal information against loss, theft, unauthorized access, disclosure, copying, use, or modification. However, no method of transmission over the internet or method of electronic storage is completely secure, and we cannot guarantee absolute security.
Your choices and rights
You may request access to, correction of, or updates to your personal information. You may also withdraw consent for marketing communications at any time by using the unsubscribe option (where provided) or by contacting us. Your ability to request deletion of information may be limited where we must retain certain records for legal, regulatory, or professional obligations.

Refunds
This Refund Policy applies to consultations and immigration-related services provided by Crossing Oceans Immigration Services Ltd. ("Crossing Oceans," "we," "us," or "our"). This Refund Policy is intended to summarize our general approach to cancellations, withdrawals, and file management. Your signed Retainer Agreement (and any applicable payment terms) will govern in the event of any inconsistency.
Consultations
To ensure fairness and availability for all clients, the following policy applies to all booked consultations.
Cancellations
If you cancel your consultation with at least 48 hours’ notice, you are eligible for a refund. Refunds will be processed less any applicable payment processing fees. Cancellations made with less than 48 hours’ notice are non-refundable.
Rescheduling
If you request to reschedule with at least 24 hours’ notice, we will reschedule your consultation at no additional charge. Requests made with less than 24 hours’ notice may be subject to a rebooking fee at our discretion.
Late arrivals
If you arrive more than 10 minutes late, your session may be shortened accordingly. Consultations will conclude at the scheduled end time.
How to cancel or reschedule
To cancel or reschedule, you must provide notice by email to info@crossingoceansimmigration.com .
Immigration-related services
Our immigration-related services may be billed on a hybrid basis depending on the service type. Some services (for example, temporary status or citizenship matters) may require full payment up front. Other services (for example, certain permanent residence matters) may be billed according to milestone or payment terms set out in your Retainer Agreement.
Earned fees and withdrawals
Professional fees are earned as services are performed. If you withdraw before submission, Crossing Oceans may retain fees for work completed to date and may apply a minimum withdrawal/administration fee of $1,000.00, plus $185.00 per hour for work performed, deducted from any funds held, subject to applicable professional obligations. Any unearned fees will be refunded in accordance with your Retainer Agreement.
Inactivity and file closure
If there is no contact from you, or you do not provide required documents, for 60 consecutive days, Crossing Oceans may close your file after providing written notice. If your file is closed, any unearned fees will be handled in accordance with your Retainer Agreement. Reopening a closed file may require an administrative fee of $500.00 plus HST.
Refusals and third-party decisions
Government decisions, processing times, and application outcomes are outside our control. A refusal or negative decision does not, by itself, create a right to a refund of fees already earned for work completed. No refunds are provided for refusals unless the refusal resulted from an error by the RCIC. Any unearned fees will be refunded in accordance with your Retainer Agreement.
Changes to this Refund Policy
We may update this Refund Policy from time to time. The most current version will be posted on our website.
